This policy explains what UltimateSweepers.com (“UltimateSweepers”, “we”) collects when you use our website and the UltimateSweepers Sidekick browser extension, how we use it, and the choices you have. Questions: support@ultimatesweepers.com.
The short version: we use your information to run your account, your sweeps inbox and your daily routine. We don't sell it, we don't use advertising trackers, and we don't give it to sweepstakes sponsors.
1. What we collect
Account details. Your name, email address and password (stored only as a salted hash we can't read), and your state. If you add them: birth year, whether you're a homeowner, your personal phone number, mailing address, city, ZIP code and time zone.
Your sweeps contacts and inbox. The private email addresses we create for you on mail.ultimatesweepers.com and, if you claim one, your sweeps phone number. Everything sent to them is stored in your inbox: emails, text messages, and voicemail recordings with their transcripts.
What you do on UltimateSweepers. The sweepstakes you enter (which one, when, and whether you used the entry link, marked it done or used the extension), your favorites and daily routine, lists and Power Sweeper filters you follow, your private personal-sweepstakes list and imports, private notes, wins you report (prize, value, dates, sponsor, Form 1099 status and your notes), reviews and comments, giveaway entries, notification and reminder settings, and desktop-notification subscriptions for your browsers. For a signed-out browser, list alerts store only its push endpoint and keys, time zone, and followed-list keys.
Technical information. A sign-in cookie, the browser type (user agent) for each signed-in session, your IP address for abuse and rate limits, and a log of account actions such as sign-ins, entries and saves. For security review, action logs can include the request IP, approximate city/region/country, network provider, and Cloudflare automation signals when available. IP location may identify a proxy rather than your actual location.
We don't run third-party analytics or advertising trackers on the website.
2. How we use it
- To run your account: your daily routine, entry tracking and resets, favorites, notes, win log and yearly prize report.
- To run your sweeps inbox: deliver messages sent to your sweeps addresses and number, and sort them (possible win, action needed, confirmed, promotion, likely scam). Sorting uses automatic rules plus our own model, which learns from how members label messages (for example “won”, “scam” or “promotion”). The model keeps learned patterns, not anyone's messages.
- To notify you about possible wins, messages, reminders and new sweepstakes in lists you've chosen to follow, by email or desktop notification.
- If you join the Sidekick waiting list, to tell you when Sidekick is available and send launch-related updates. Ask support to remove your waitlist email at any time.
- To send our sweepstakes newsletter. You're subscribed when you join, and you can opt out any time under Account › Notifications.
- To administer UltimateSweepers promotions you entered, including eligibility and prize records.
- To calculate provider trust scores from members' reviews and reported wins, shown only as totals.
- To keep the service secure, prevent abuse and fraud, and meet legal obligations.
3. What other people can see
Reviews and comments you post show your first name and state. Wins you report appear on the public Winners board only if you choose to show them, and then only with your first name and state. Everything else in your account is private.
4. Who we share it with
We use a few service providers that process data for us under their own security and privacy terms:
- Cloudflare: hosts the website and database and receives email for your sweeps addresses.
- Resend: sends our emails (alerts, password resets, newsletters).
- Twilio: provides sweeps phone numbers and receives texts and voicemails for them.
We may also disclose information when the law requires it, to protect our rights or users' safety, or as part of a merger or sale of the business (this policy would still apply to your information).
We don't sell your personal information or share it for cross-context behavioral advertising. We don't give your information to sweepstakes sponsors. When you enter a sweepstakes, you submit the entry on the sponsor's own website, and the sponsor's rules and privacy policy govern what you give them.
5. The Sidekick browser extension
Sidekick is our side panel for Chrome. It shows your daily routine, sweeps inbox and wins, and can fill your sweeps details into entry forms.
- Signing in. You connect the extension from ultimatesweepers.com. The extension then keeps a sign-in token on your computer and talks only to ultimatesweepers.com. Signing out of the extension deletes the token on our side.
- Stored on your computer. The sign-in token, which server it connects to, which sweepstakes you skipped today, the tab it uses for your daily run, your "Watch my entries" choice, which sweepstakes your latest Fill was for, field names you told it not to ask about again, and (only if you turned on Watch my entries) answers waiting for you to choose Save or Not now.
- Sent to our servers. Only the actions you take in the panel (marking an entry done, undoing it, notes, inbox decisions, creating email aliases, saving extra form fields and signing out), plus entries Sidekick marks done for you if you turned on Watch my entries. They're saved to your account like the same actions on the website.
- Fill. Fill runs only when you click it, on the page you have open. It looks at the form's field labels and names on your computer to recognize fields, then fills in your name, sweeps email, sweeps phone number, address, birth year and any extra fields you saved from your account. It also ticks the entry boxes that are clearly labeled as accepting the official rules, confirming you meet the age requirement, or agreeing to the sponsor's marketing (those messages go to your sweeps email and number, which land in your filtered sweeps inbox, not your real ones). It leaves every other checkbox alone, never submits a form, never solves CAPTCHAs and never fills hidden fields. Except for optional discovery described below, Fill sends nothing from the page (its address or its content) to us. The only other page content that can reach us is an extra answer you choose to save, described next.
- Extra fields. You can save extra answers that entry forms ask for (for example a T-shirt size) so Fill can use them. You can add them in the extension's Settings, or let Sidekick offer them (see Watch my entries). Until you answer, offered answers stay on your computer. Only the field name and your answer are sent, and only if you choose Save. Sidekick never saves payment card, bank, government ID, password or security-question answers. You can see and delete saved fields in Settings at any time, and they're included in data exports and deleted with your account.
- Watch my entries. This is off until you turn it on: the first time you click Fill, Sidekick asks once, and you can change your choice in Settings at any time (signing out resets it). If you say yes, then only while the Sidekick side panel is open and only on the page where you used Fill, Sidekick notices when you press the sponsor's Enter button. It then checks that page, on your computer, for the sponsor's confirmation (for example a thank-you message or confirmation page) for about 15 seconds. If it finds one, it marks that sweepstakes done for today, the same as pressing Mark done. The page's text and address are not sent to us. It also offers to save answers you typed into boxes Fill didn't recognize. If you say no, Fill doesn't watch the sponsor's Enter button at all.
- Optional discovery during Fill. If you turn on the separate “Find new sweepstakes during Fill” choice, Sidekick may send the current page's sanitized public URL and page title to UltimateSweepers. It does not send form contents, what you type, or your profile. Credentials, fragments, secret-looking query parameters, private/local addresses and account, sign-in or payment paths are discarded. A link that passes those checks is only a review candidate; that does not prove the page or prize is safe. Unknown links stay unpublished until they pass our existing verified review and official-rules/evidence checks.
- What it doesn't do. It doesn't read or record your browsing history, doesn't track the pages you visit, and doesn't run on any website unless you click Fill there. It only notices the sponsor's Enter button if you turned on Watch my entries, and optional discovery applies only to the page where you clicked Fill. Permission to fill forms on all websites is optional. Chrome asks for it the first time you click Fill, and everything else works without it.
- Limited use. Information the extension handles is used only to provide the features described here. The use of information received from the extension adheres to the Chrome Web Store User Data Policy, including the Limited Use requirements. We don't sell it, transfer it for advertising, use it to determine creditworthiness, or let people read it except for security, legal compliance or with your permission.
6. Cookies
We use two cookies of our own: us_session keeps you signed in (up to 60 days), and us_flash carries a one-time on-screen message (about a minute). No advertising or tracking cookies.
7. How long we keep it
We keep your account information for as long as your account is open. Website sessions expire after 60 days and extension sign-ins after 180 days. IP-based rate-limit records are deleted after about a day. Network details attached to activity logs are cleared after 30 days or when the associated account is deleted. If you give up your sweeps phone number or close your account, the number is unassigned and rests for at least 60 days before anyone else can get it. Messages sent to it after that aren't delivered to you.
We never delete an active account on our own. Your account stays open until you ask us to close it. If you'd like your account and its data deleted, use Your Privacy Choices or email support@ultimatesweepers.com. We'll respond within 45 days and may extend once by 45 more days with notice, except for records the law requires us to keep (for example, giveaway prize records).
Your privacy rights
California residents can ask to know or access, delete, correct, or limit use of personal information, and can opt out of sale or sharing. We don't sell or share personal information, so there is nothing to opt out of; we treat a Global Privacy Control signal as an opt-out request anyway. We don't discriminate against you for exercising a right.
Use our privacy request form or email support@ultimatesweepers.com. Signed-in members can download their data from Account. We match requests to the account email or send a confirmation link. Authorized agents need the consumer's signed permission, and we may verify the consumer directly. We respond within 45 days and may extend once by 45 more days with notice. Request records are kept for 24 months.
California notice (CCPA)
In the last 12 months we collected identifiers; customer records such as name, address and phone; commercial information such as prizes and wins you record; internet or electronic activity such as entries, saves and sessions; audio/electronic information such as voicemails to your sweeps number; and account log-in credentials as sensitive personal information. We may use Cloudflare automation signals to help review suspected automated activity.
Sources are you, senders of messages to your sweeps contacts, and sponsors' sites only through what you record. We use it to provide, secure and improve the service, and disclose it to Cloudflare, Resend and Twilio as service providers. We do not sell or share it. Retention is described in section 7.
8. Your choices and rights
- Update your details any time under Account.
- Turn email, desktop notifications, reminders and the newsletter on or off under Account › Notifications.
- Sign out of the extension from its Settings tab, or remove it from Chrome at any time.
- Ask us for a copy of your information, or to correct or delete it, using Your Privacy Choices or at support@ultimatesweepers.com. We won't treat you differently for using them.
9. Children
UltimateSweepers is for adults 18 and older. We don't knowingly collect information from anyone under 18. If you believe a minor has an account, contact us and we'll delete it.
10. Security
Connections are encrypted (HTTPS). Passwords are stored only as salted hashes, and sign-in tokens only as one-way hashes. No system is perfectly secure, but we work to protect your information and will notify you as the law requires if a breach affects it.
11. Changes
If we change this policy, we'll update the date at the top. For significant changes, we'll also tell you by email or in your account before they take effect.
